{"id":17782,"date":"2025-04-08T14:59:38","date_gmt":"2025-04-08T18:59:38","guid":{"rendered":"https:\/\/www.woodsworthcoop.ca\/?p=17782"},"modified":"2025-08-31T16:54:21","modified_gmt":"2025-08-31T20:54:21","slug":"getting-or-sending-email-to-the-co-op","status":"publish","type":"post","link":"https:\/\/www.woodsworthcoop.ca\/index.php\/getting-or-sending-email-to-the-co-op\/","title":{"rendered":"Notices: getting or sending email to the co-op"},"content":{"rendered":"<p>Organizational bylaw #83 (Incorporating Bylaw 85: Electronic meetings and balloting by-law and Bylaw #87) creates new rules for the co-op and members about notices, including electronic mail \/ email.<\/p>\n<p>It stipulates that members can sign a form consenting to notices by electronic mail and the form must state an e-mail address for notices and documents.\u00a0 Members can also cancel their consent or change their email address in writing.<\/p>\n<p>If you have not signed a consent form, and wish the convenience of receiving email from the co-op, talk to Management about the <a href=\"https:\/\/www.woodsworthcoop.ca\/index.php\/electronic-communication-agreement-form\/\">Electronic Communication Agreement Form:<\/a><\/p>\n<p>The bylaw in Article 26 outlines what can be sent by email, such as<\/p>\n<p>\u2022 notices of members\u2019 meetings, agendas and documents to be presented or discussed at a meeting<\/p>\n<p>\u2022 notices about the co-op, the co-op property or co-op activities that the board or staff decides to send to all members or a large portion of the membership (such as all members on a floor) notices personal to a member or responses to e-mails from a member.<\/p>\n<p>Notices and documents by e-mail are considered delivered at the time of sending.<\/p>\n<p><strong>What cannot be sent by email:<\/strong><\/p>\n<p>There are specific rules about what you cannot send to the co-op by email, such as<br \/>\n\u2022 credit check authorizations<br \/>\n\u2022 occupancy agreements, including all attachments, schedules and appendices<br \/>\n\u2022 statements of income and household composition, as applicable<br \/>\n\u2022 co-signer or guarantee agreements<br \/>\n\u2022 long-term guest agreements<br \/>\n\u2022 sub-occupancy agreements<br \/>\n\u2022 nomination forms (completed) for co-op elections<br \/>\n\u2022 Directors\u2019 Ethical Conduct Agreements, Confidentiality and Conflict of Interest Agreements<br \/>\n\u2022 consents to serve as Director or any similar documents such as nomination forms<br \/>\n\u2022 confidential information complaints<br \/>\n\u2022 human rights complaints<br \/>\n\u2022 other complaints under co-op by-laws<br \/>\n\u2022 requisitions or petitions<\/p>\n<p>The bylaw also talks about delivery of paper notices &#8211; such as handing personally to the member or another adult in the member\u2019s unit. And it also mentions ordinary mail &#8211; Canada Post &#8211; at their co-op unit or last known address.<\/p>\n<p>Only one notice or one copy of a document needs to be given for each unit.<\/p>\n<p>A minor error or omission in any notice will not affect any decision made by the board or members. This includes accidentally failing to give notice or a document to someone.
